Help: fields
Fields
A field is a single value in the text of a document, such as the number of dipwells, the emission reductions of the monitoring period or the number of people who joined a training. You never type these numbers yourself. The field is filled in from the asset, the calculation, the GIS platform or the monitoring platform, so the text stays right when the data changes and the same text works again next year.
Put the cursor where the value goes and choose dataset_linked Insert field in the toolbar of the editor. Search for what you need, like dipwells, pick the field and choose:
- Period: which part of the time the value covers, such as this monitoring period or one year. For things that are built or installed, like dams and dipwells, this is when they were installed.
- Filters: only count part of it, like the daily dipwells, the dams in good condition or the women who took part in a training.
- Compared with: show the change instead of the value, for example how many more dams there are than at the end of the previous monitoring period.
- Show as: with or without the unit ("48 dipwells"), numbers below ten in words, or rounded. A list, like the names of the villages, is shown as "Muara Merang, Bayung Lencir and Kepayang", or as the number of items in it. A date as "1 January 2024", "January 2024" or "2024".
The dialog shows what the field will say in the text before you insert it. In the editor the field is a highlighted value. Hover it to see what it shows, click it to change it. In the preview and the PDF it is normal text.
All fields are listed on Fields.
A text with "in 2025" goes out of date next year. Use the periods that move with the document instead, so the starting text of a template works for every monitoring report:
- This monitoring period: from the start to the end of the monitoring period of the document.
- The previous monitoring period: the monitoring period before it.
- The last year of the monitoring period: for example 2025 in a monitoring period from 2024 to 2025.
- Project start to the end of the monitoring period: everything so far.
- A year: one calendar year, only when the text really is about that year.
Without a period, a count includes everything up to the end of the monitoring period. A dipwell installed after it is never counted in an older report.
A number like 0 often reads badly: "There were 0 fire hotspots." Fill in Text when zero to say no instead, and the sentence becomes "There were no fire hotspots." Use In words to write numbers below ten as words, as the standards ask.
Missing values and changes
Missing values
When a field has no value, for example because the calculation hasn't run or the GIS platform has no dams layer for the asset, it shows no data. The document can't be exported until every field has a value or is replaced by text.
Changed values
When the calculation runs again or a layer is updated, the fields change with it. A section with changed values gets a mark in the list of sections, and its reviewer sees which values changed since they last approved it.
Fixed values
When a document is sent to the auditor its values are fixed, so the report stays exactly as it was sent. Choose Update values in the document settings to take the latest values again, for example after the auditor asked for a correction.
Replacing a field by text
Click a field and choose Replace by its value to turn it into normal text. Only do this when the number in the text must differ from the data, and say why in a comment.
Copy and paste a text with fields, from one section to another or into an example text, and the fields come along with their choices. In the new place they show the values of that document.
